FreshBooks vs Wave (2026): Pricing, Client Limits & Fees
FreshBooks vs Wave for US freelancers: compare regular prices, billable-client limits, card and ACH fees, accountant access, and a ten-client monthly budget.

Key takeaways
FreshBooks separates client capacity from features: Lite allows 5 billable clients, Plus 50 and Premium unlimited. Native timers are available on every plan; reconciliation, receipt OCR and retainers start at Plus, while project profitability and accounts payable start at Premium.
Wave Starter has a $0 subscription and unlimited invoices, not a verified unlimited-client promise. Pro is $19/month or $190/year per US business and adds automatic bank feeds, receipt OCR and unlimited role-based collaborators.
For ten distinct clients each making one $500 manual domestic consumer-card payment, the monthly cash model is $191 on FreshBooks Plus, $218 on Premium, $151 on Wave Starter and $164 on Pro. These totals do not establish feature or labor equivalence.
Invoice creation, email delivery and authorized charging are separate. FreshBooks client-opt-in AutoPay has no extra subscription; merchant-keyed cards and card AutoCollect use Advanced Payments, $20/month or included with Select. Wave sending and reminders require online payments or Pro, not necessarily Pro.
Exports are an accounting archive, not a lossless cross-platform restore or a transfer of payment credentials. Save documents and receipts separately, pause old recurring billing, then verify balances and new payment authorizations before cancellation.
Quick Verdict for US Freelancers
Choose FreshBooks when billable time, project rates and recurring client work need to flow into the same invoicing system. Choose Wave when your priority is low-cost bookkeeping and invoicing, and a separate timer or manual billing workflow is acceptable. The useful comparison is not simply paid versus free: FreshBooks gates both client capacity and accounting features, while Wave charges for bank-feed automation, receipt scanning and ordinary collaborator access through Pro or specific add-ons.
For a US freelancer serving ten ongoing clients who each make one $500 standard consumer-card payment per month, our regular-price illustration totals $191 on FreshBooks Plus, $218 on Premium, $151 on Wave Starter and $164 on Pro. Those are subscription-plus-processing amounts, not estimates of profit or time saved. FreshBooks Lite is excluded from that scenario because ten distinct billable clients exceed its five-client allowance. A freelancer sending ten invoices to three clients faces a different plan decision.
Research method: official pricing, help articles and payment terms checked October 26, 2026. This is a documentary comparison, not a hands-on invoicing, payment-settlement or migration test. Budgets use US dollars and regular US prices, excluding taxes, promotions and unlisted merchant-specific terms. The FreshBooks review, Wave review and accounting and invoicing category provide broader context; the dated primary sources here govern the current price and feature comparisons.
Check Country and Payment Eligibility First
Wave's account-creation guide limits new accounts to businesses in the United States and Canada, excluding US territories. A freelancer based in Pakistan, India or another unsupported country should not read a US price table as confirmation they can sign up. Historical overseas accounts are a separate case: Wave's international-user notice describes reduced functionality and discontinued support, not a worldwide offering for new customers.
FreshBooks software availability is broader, but its FreshBooks Payments onboarding guide covers US and Canadian merchants, with ACH for US businesses and clients. Invoice currencies, customer location and eligibility to operate a payment account are different checks. International businesses may have different processor choices and rates. This article does not certify that every FreshBooks feature works in every country.
Both platforms require payment approval before the online-collection workflow is usable. Wave explicitly makes online payments subject to approval; buying Pro does not bypass that review. Check your legal business location, settlement bank, supported payment methods and customer authorization before migrating. If country eligibility eliminates Wave, the Zoho Invoice vs Wave guide explains the invoice-first alternative without pretending that another provider's gateway approval is automatic.

Regular Prices, Client Limits and Paid Features
The US FreshBooks pricing page lists regular monthly rates of $23 for Lite, $43 for Plus and $70 for Premium; Select requires a quote. Regular annual bills are $248.40, $464.40 and $756 respectively. Dividing those annual bills by twelve gives $20.70, $38.70 and $63 per month as budgeting equivalents, not monthly payment options. Lite allows five billable clients, Plus fifty, and Premium and Select unlimited billable clients.
Wave's subscription-fee documentation confirms Starter at $0 and US Pro at $19 monthly or $190 annually, per business. Annual Pro saves $38 against twelve $19 payments. Canadian Pro is separately CA$25 monthly or CA$250 annually; those amounts must not be mixed into a USD comparison. The separate Receipts subscription is US$8 monthly or $72 annually, but receipt scanning is already included in Pro, so do not double-charge it in your budget.
FreshBooks was advertising an introductory discount during this research. Its Buy Now offer terms and checkout conditions govern eligibility, duration and renewal; an introductory monthly amount is not the ongoing list price. Compare the regular cost first, then record the exact first charge and renewal from your checkout. Likewise, Wave's Pro page notes that some existing subscribers retain different pricing until cancellation, resubscription or a billing-cycle change. Our model is a current regular-price reference, not a prediction of every existing customer's invoice.
Feature gates can matter more than a small subscription difference. FreshBooks billing help places accounting reports, receipt OCR and retainers on Plus or higher, with accounts payable and project profitability on Premium or higher. Wave Pro adds automated bank imports and ordinary collaborator access. Record the features you actually need in the SaaS spending checklist before comparing the cheapest advertised plans.
| Plan | Monthly billing (USD) | Annual bill (USD) | Client allowance | Important boundary |
|---|---|---|---|---|
| FreshBooks Lite | $23 | $248.40 | 5 billable clients | Native timers included; bank feeds are not bank reconciliation. Reconciliation, receipt OCR and retainers require Plus or higher. |
| FreshBooks Plus | $43 | $464.40 | 50 billable clients | Adds bank reconciliation, receipt OCR and retainers; up to 10 free accountant-role users are not normal staff or read-only users. |
| FreshBooks Premium | $70 | $756 | Unlimited billable clients | Adds project profitability and accounts payable; ordinary staff cost $11/month each. |
| FreshBooks Select | Custom quote | Custom quote | Unlimited billable clients | Includes 2 staff users and Advanced Payments. Confirm additional seats and any capped ACH pricing in the Select quote. |
| Wave Starter | $0 | $0 | Unlimited invoices; no verified client cap | Receipt OCR is a separate $8/month or $72/year option. Direct sending and reminders require online payments or Pro. |
| Wave Pro | $19 | $190 | Unlimited invoices; no verified client cap | Per business: automatic bank feeds, receipt OCR and unlimited role-based collaborators. A native billable timer is not documented. |
Billable Clients, Staff and Accountant Access
FreshBooks counts active and archived clients toward the plan allowance. Archiving old work therefore does not make Lite's five-client limit disappear. Its archive and delete guide says deleting an inactive client preserves past invoices and payments, but you cannot invoice that client until restoring the record. Restore also brings the record back into the allowance. Count the client relationships you must keep billable, not merely the number that happened to pay this month.
Wave's pricing matrix explicitly promises unlimited invoices, estimates, bills and bookkeeping records. No numeric customer-count cap was found in the reviewed current documentation, but an explicit unlimited-client guarantee was not verified either. Those are deliberately different statements. Neither client counts nor invoice counts describe staff access: customer records, additional customer contacts and colleagues who can log into your books are separate parts of the purchase.
FreshBooks lists additional team members at $11 per month each. Its role permissions allow up to ten accountant-role users at no extra cost on Plus, Premium and Select. That accountant role is not read-only: it can perform accounting work and manage invoice payments. It is not a substitute for a normal employee seat. Plus with one additional ordinary staff member is $43 + $11 = $54 monthly before processing; do not add that seat charge merely because an eligible accountant needs access.
Wave Pro includes unlimited role-based collaborators. Its permissions guide distinguishes Admin, Editor and Viewer: Editors and Viewers cannot perform the full account-data export. A Viewer is useful for read-only review, whereas an Admin has broader powers. Decide the work and permissions first, as in the freelancer software stack guide. For FreshBooks, removing a person also requires adjusting the purchased seat count if you want the associated charge removed.

Card Fees, ACH and the First-Ten Discount
Use the dedicated FreshBooks Payments USD fee schedule, not just a headline starting rate. Standard domestic consumer cards cost 2.9% + $0.30. Commercial, corporate, business cards and Amex cost 3.5% + $0.30. Card AutoPay, AutoCollect and the virtual terminal also fall under the 3.5% + $0.30 managed-payment rate. Consequently, a B2B freelancer or someone using automatic card collection should not budget every receipt at the lower consumer-card rate.
Wave's processing-fee guide lists 2.9% + $0.60 for Visa, Mastercard and Discover, or 3.4% + $0.60 for Amex. While subscribed to Pro, the first ten cumulative card transactions in each monthly subscription period lose the $0.60 flat charge; the percentage still applies. The US payment terms do not give each card brand a separate allowance. Ten waived charges save at most $6 per period, so the discount alone cannot repay a $19 monthly Pro subscription.
FreshBooks publishes ACH at 1%, including ACH AutoPay, with caps available by Select quote. Its reviewed USD schedule does not publish a numeric minimum or a standard-tier cap. Wave ACH is 1% with a $1 minimum and no maximum cap published in the reviewed terms. For example, a $50 Wave ACH payment costs $1 rather than $0.50; a $10,000 payment yields $100 under the published percentage. Do not insert a familiar standalone Stripe cap into either platform's budget or interpret an unpublished limit as a promise that none can apply.
Refunds, disputes, foreign cards, currency conversion and optional faster payouts can change the result. Existing accounts may also use a different processor: FreshBooks' Stripe Standard setup guide now directs US and Canadian businesses to FreshBooks Payments, while older fee tables retain US entries. Confirm your connected processor rather than combining incompatible schedules. The Zoho Invoice vs Invoice Ninja comparison applies the same separation between a software subscription and gateway charges.
Worked Budget: Ten Clients Paying $500 Each
Assume ten distinct ongoing clients, one $500 invoice paid in full by each client, and $5,000 collected in one monthly period. All ten payments are successful, manually initiated domestic consumer-card payments, not Amex, commercial cards or automatic collections. Wave Pro's first-ten benefit has not been consumed by other transactions. These are illustrative inputs, not observed results. We exclude taxes, refunds, disputes, currency conversion, staff and third-party time-tracking fees so every column starts with the same payment book.
FreshBooks processing is $5,000 × 2.9% + 10 × $0.30 = $148. Plus therefore totals $43 + $148 = $191, and Premium totals $70 + $148 = $218. Wave Starter processing is $145 + $6 = $151 with no subscription. Wave Pro processing is $145 because those first ten flat charges are waived, giving $19 + $145 = $164. Pro is $13 more than Starter in this particular month; its automation and collaboration must justify that difference. Lite is not eligible for the ten-client setup, even though all ten invoices would be allowed if they belonged to sufficiently few clients.
Payment behavior changes the comparison without changing sales. If the same FreshBooks receipts use card AutoPay, processing becomes $5,000 × 3.5% + $3 = $178, and Plus costs $221. Splitting the same $5,000 across twenty manually paid deposit-and-balance transactions instead creates $6 of FreshBooks flat fees. Wave Starter then has $12 of flat fees, while Pro waives ten and charges the remaining $6. Deposits are therefore a payment-count question as well as a cash-flow decision.
If the original ten-payment workload repeats for twelve monthly periods, regular annual subscriptions produce $464.40 + 12 × $148 = $2,240.40 for FreshBooks Plus and $190 + 12 × $145 = $1,930 for Wave Pro. The annual difference is $310.40. That is not a claim that the tools do equivalent work: time tracking, role requirements and reconciliation determine the usable plan. Use the freelancer invoicing guide or QuickBooks alternatives guide if neither column covers your actual workflow.
| Cost item (USD) | FreshBooks Plus | FreshBooks Premium | Wave Starter | Wave Pro |
|---|---|---|---|---|
| Subscription | $43.00 | $70.00 | $0.00 | $19.00 |
| Percentage fees on $5,000 | $145.00 | $145.00 | $145.00 | $145.00 |
| Fixed payment fees | $3.00 | $3.00 | $6.00 | $0.00 |
| Total monthly cash cost | $191.00 | $218.00 | $151.00 | $164.00 |
| Annual subscription + 12 identical payment months | $2,240.40 | $2,532.00 | $1,812.00 | $1,930.00 |
Time Tracking, Project Billing and Retainers
FreshBooks includes time tracking on every plan. Its project billing methods support hourly rates by project, team member or service, and flat-rate projects. A flat-rate project's tracked hours are not separately billable invoice lines: the fixed project fee is billed instead. That distinction helps you measure effort without accidentally charging a client twice. Before importing a time history, decide which entries document project cost and which should become a customer charge.
FreshBooks retainers require Plus or higher and allow one active retainer per client. They connect an agreed recurring budget with hours, but unused hours do not automatically roll forward and excess-hour invoices need deliberate handling. Invoice deposits are a different feature: the deposit guide permits a fixed amount or percentage, with one deposit request per invoice and restrictions after a payment is recorded. Neither feature replaces a written agreement about scope or cancellation.
A native Wave billable-time timer was not verified in the reviewed documentation. Its integration directory lists Pro integrations such as MinuteDock and Swell Time Tracking. Price the integration separately rather than assuming it is bundled. A manual timer-to-invoice workflow can still be sufficient for a few fixed-price clients; the free time-tracking guide and Harvest review help evaluate that route. Whether FreshBooks saves enough administrative time to justify its price is something to measure with your own work, not a guaranteed saving from this comparison.
Recurring Invoices, Reminders and Authorized Payments
A recurring schedule creates an invoice; delivery sends it; authorized collection attempts a payment. FreshBooks recurring templates can send automatically or create drafts and can incorporate unbilled time and expenses. Its client-opt-in AutoPay is available on all plans without an additional subscription, but processing fees remain. Merchant-entered card collection and card AutoCollect instead use Advanced Payments, listed at $20 monthly and included with Select.
Wave's recurring-invoice instructions also separate schedule, payment and sending settings. Sending directly through Wave and scheduled payment reminders are available to businesses with online payments or Pro. Calling every reminder Pro-only is therefore misleading. Without that entitlement, invoice links and PDFs can be shared externally. Neither paying for Pro nor having a recurring invoice grants permission to charge a customer without their authorization.
For Wave automatic payments, verify the approved payment setup and customer authorization before expecting collection. Current documentation also describes recurring bank payments through a customer's Plaid connection, with bank-specific restrictions, rather than promising every manually entered bank account can recur. During a switch, explicitly stop old recurrences and automatic charges: archiving a FreshBooks recurring template is not a reliable stop instruction. This check belongs in the same client-delivery routine as the milestones in our consultant software guide.
Bookkeeping, Receipts and What Pro Changes
FreshBooks Lite's bank imports should not be confused with bank reconciliation, which requires Plus, Premium or Select. Reconciliation matches the ledger to statements; importing transactions only brings records in. Plus also unlocks the accounting reports an accountant may need, while Premium adds accounts payable and project profitability. Choose these features deliberately instead of buying Lite and assuming every task called accounting is included. Our small-business accounting guide maps the broader buying decision.
For new Wave businesses, automatic bank imports are a Pro feature. Starter can still support manual bookkeeping and statement uploads; Pro is paying for a different workflow, not turning on the existence of a ledger. Receipt scanning is included in Pro or available through the separate Receipts subscription. Bank support depends on the financial institution, so confirm your specific connection rather than treating a supported country as a guarantee that your bank feed works.
Wave now documents Pro tags for grouping income and expenses, including projects, and a Profit & Loss by tag report. The report compares up to seven selected tags at once; that is not a seven-project account limit or a full timesheet-management system. Blanket claims that Wave has no project-related reporting overlook this feature. For more extensive accounting needs, compare the workflows in FreshBooks vs QuickBooks rather than treating all project features as interchangeable.
Existing Wave accounts need an additional check. The legacy-business FAQ describes a June 1, 2026 move to Starter for affected older accounts without qualifying active paid services, alongside exceptions for eligible accounts. An old screenshot showing free bank feeds or collaborators is not proof that a newly registered business receives them. Use your own subscription page and the current eligibility rules when deciding whether staying put is cheaper than switching.
Exports and Switching Without Losing Billing History
FreshBooks' export documentation separates structured records from invoice PDFs and receipt files. Its import guide documents supported CSV imports, not a complete historical-invoice restore. A migration service may help with a particular source, but do not infer that every attachment, relationship, automation or payment mandate moves automatically. Ask for a written field-level migration scope before canceling a system that contains records you need for taxes or disputes.
Wave's account-data export provides four accounting XLS or CSV files plus a ZIP of receipt images for the selected business. Its download link lasts 24 hours; that is a link-expiry period, not a data-retention guarantee. For invoice data, Wave Connect offers a Google Sheets export with line-item and payment-detail options. Preserve invoice documents separately instead of assuming the four accounting files contain a complete rendered invoice archive.
Wave's own account-to-account migration guide says exported data does not include customers' credit-card information. Even a move inside one vendor is therefore not evidence of transferable payment credentials. Compare customer balances, unpaid invoices, credits, taxes, receipts and next recurring dates on a small sample first. The software evaluation checklist is useful here: the exit test should happen before a long subscription commitment, not after access disappears.
| Cutover item | FreshBooks | Wave |
|---|---|---|
| Client and accounting exports | Export available client and accounting records as CSV; verify fields and balances. These files are not a full account restore. | Export the selected business as four XLS or CSV files; download the export within 24 hours and check the business and reporting period. |
| Invoices and documents | Save invoice PDFs and required documents separately; CSV import does not restore the complete historical invoice record. | Use Wave Connect in Google Sheets for invoice export; preserve invoice documents separately rather than treating the accounting export as a complete invoice archive. |
| Receipt files | Download receipt files separately from CSV data and invoice PDFs. | Download the receipt ZIP for the selected business and keep it alongside the four accounting export files. |
| Payment authorizations | Do not assume saved cards, bank mandates or AutoPay/AutoCollect permissions transfer; re-establish authorized payment arrangements. | A data export does not transfer payment credentials or recurring-charge consent; obtain fresh authorization where required. |
| Recurring billing cutover | Pause old recurring invoices and automatic charges before enabling replacements; compare next due dates and unpaid balances. | Stop the old recurrence schedule and authorized charges before activating replacements, then check for duplicate invoices and payments. |
| Cancellation versus deletion | Access ends at the end of the paid period after cancellation. Official retention descriptions conflict; export first and do not rely on a recovery window. | Canceling Pro returns the business to Starter with data accessible; deleting the Wave account irreversibly deletes all its businesses. Back up before account deletion. |
Cancellation and a Safe Cutover Plan
Canceling Wave Pro is not the same as deleting your account. Its cancellation guide says paid features remain until the billing period ends, after which the business returns to Starter with data accessible. Cancel at least one day before renewal and follow Apple or Google instructions for an app-store subscription. Account deletion is a different, irreversible step; do not use it as a subscription-management shortcut.
FreshBooks cancellation help says paid access lasts through the billing period, then recurring workflows, bank connections and customer payment access are affected. Its help article and Terms of Service describe inactivity and possible deletion using different timelines. Rather than promise a recovery deadline, export records before access ends and confirm any retention requirement with Support. Neither a CSV export nor a vendor's retention policy is a substitute for keeping your own readable archive.
A controlled switch starts with an agreed accounting cutoff, a complete download and a sample reconciliation. Recreate unpaid balances without double-counting revenue, preserve the old document numbers for reference, invite only the people who need access, and get any new payment authorization. Pause the source recurrence before turning on its replacement. Confirm the first new invoice and settlement, then cancel only the services you no longer need. This is an operational checklist, not a claim that a financial migration can always be completed in an afternoon.
Which Should a Freelancer Choose?
Choose Wave Starter when you are eligible, want a $0 subscription, and can work with manual bookkeeping and the delivery options available to your business. Choose Wave Pro when bank imports, receipt scanning, collaborators or tagged reports remove enough work to justify $19 monthly or $190 annually. Do not buy it just for the first-ten card discount: that saves no more than $6 per monthly period. If you keep several businesses, Wave's business-profile guide requires a separate Pro subscription for each business that needs Pro.
Choose FreshBooks Lite when five billable clients cover your needs and native time-to-invoice work matters more than reconciliation or accountant access. Choose Plus for up to fifty billable clients plus the accounting and retainer features, and Premium when its additional capacity, accounts payable or profitability reporting are necessary. Select needs an account-specific quote. Base the decision on country eligibility, required roles, the regular renewal price and your actual payment mix—not a universal winner, a temporary discount or a promise that either product will make customers pay faster.

Frequently asked questions
What do FreshBooks and Wave cost at regular US prices?
As of October 26, 2026, FreshBooks Lite is $23/month or $248.40/year, Plus $43/month or $464.40/year, and Premium $70/month or $756/year; Select requires a quote. Wave Starter has a $0 subscription, while Pro is $19/month or $190/year per business. These are regular USD prices before tax, with annual subscriptions paid upfront rather than monthly. Canadian Wave Pro pricing is separately CAD $25/month or CAD $250/year and is not used in this US budget. Processing and optional add-ons are separate.
How do FreshBooks client limits work, and does Wave promise unlimited clients?
FreshBooks Lite allows 5 billable clients, Plus 50 and Premium unlimited. Active and archived clients count, so archiving is not a way to free the allowance. Deleting a client after their invoices are paid preserves billing history, but you cannot bill them again until the record is restored; restoring it brings it back into the count. Wave publishes unlimited invoices. No explicit client cap was found in the documentation reviewed, but an explicit unlimited-client promise was not verified, so the two allowances should not be described as identical.
Which plan includes time tracking, reconciliation and project reporting?
FreshBooks includes native timers on every plan, including Lite. Bank feeds are not bank reconciliation: reconciliation, receipt OCR and retainers require Plus or higher, while project profitability and accounts payable require Premium or higher. Wave Pro includes automatic bank feeds and receipt OCR; Starter can add receipt OCR separately for $8/month or $72/year. A native Wave billable timer is not documented, so budget a paid integration or a manual workflow rather than assuming parity. Wave Pro tags support project-style profit-and-loss reporting with up to seven selected tags at once; that selection limit is not a seven-project limit.
What do staff and accountant logins cost?
FreshBooks ordinary staff cost $11/month each; Select includes two staff users. Plus and higher support up to ten free accountant-role users, but those users are neither read-only viewers nor substitutes for ordinary staff. Check the accountant permissions against the actual job before inviting someone. Wave Pro includes unlimited role-based collaborators, which does not mean every collaborator receives the same access. Compare the required roles as well as the number of people.
Does automatic recurring billing require FreshBooks Advanced Payments or Wave Pro?
Not in every case. FreshBooks client-opt-in AutoPay is available on all plans without an extra subscription, although processing fees apply. Merchant-keyed card payments and card AutoCollect use Advanced Payments at $20/month or included with Select; card AutoPay and AutoCollect use the 3.5% + $0.30 processing rate. Wave direct sending and reminders are available with online payments or Pro, not Pro alone. Creating a recurrence does not itself authorize a charge: invoice creation, delivery and customer-authorized collection must be configured and checked separately.
What are the current US card and ACH processing fees?
FreshBooks' current USD schedule is 2.9% + $0.30 for standard consumer cards, 3.5% + $0.30 for commercial cards and Amex, and 3.5% + $0.30 for card AutoPay/AutoCollect. ACH is 1%, including ACH AutoPay; a numeric minimum is not published, and a capped ACH quote is a Select-only option. Wave charges 2.9% + $0.60 for Visa, Mastercard and Discover, or 3.4% + $0.60 for Amex, subject to Pro's first-ten flat-fee waiver. Wave ACH is 1% with a $1 minimum and no published cap. An unpublished minimum or cap is not proof that none can apply; confirm the applicable payment terms.
Does Wave Pro make the first ten payments free or pay for itself through processing savings?
No. Pro waives only the $0.60 fixed fee on the first ten cumulative card transactions in each monthly subscription period. Percentage fees remain, the benefit repeats monthly rather than being an introductory offer, and the maximum fixed-fee saving is $6 per month. That alone does not cover the regular $19 monthly subscription. In the ten-payment example, Wave Starter costs $151 in fees and Pro costs $145 in fees plus its $19 subscription, or $164. Pro therefore needs to be justified by its paid features, not a claim of ten fee-free payments.
Can I export everything and cancel without losing invoice history?
Neither service promises a lossless cross-platform restore. FreshBooks CSV records, invoice PDFs and receipt files need separate exports, and imports are not a full historical-invoice backup. Access ends at the end of the paid period after cancellation; official retention descriptions conflict, so export first rather than assuming a recovery deadline. Wave exports the selected business as four XLS/CSV files plus a receipt ZIP, with a download link valid for 24 hours; invoice export uses Wave Connect in Google Sheets. Canceling Wave Pro returns the business to Starter with data accessible, whereas deleting the Wave account irreversibly deletes all its businesses. Verify balances and documents, pause old recurring billing and arrange replacement payment authorizations: exported files do not make saved payment credentials transferable.
